When “It’s Going Well!” Suddenly Turns into “Wow… This Is Almost Too Much”

Do you know that feeling when, after the initial euphoria (Part 1 says hello), you suddenly land in a completely new business reality?

Everything you wished for is happening now – more clients, more inquiries, more projects, more income. More clients, more projects, more opportunities – and somehow also more stress than you ever expected.

It feels a bit like your first rollercoaster ride: exciting, fast, overwhelming… and you suddenly realize you didn’t quite hold on properly. You start the day motivated – and before you know it, it’s 4 p.m., your coffee is cold, and your inbox looks like an overfilled advent calendar: every click brings a new “surprise”.

And while you’re jumping between calls, proposals, and feedback rounds, you catch yourself thinking: “Oh wow… it’s working. Maybe even a little too well.”

This is also where real time drains start to show up – often before you consciously recognize them. This is where phase two of your business journey begins: The moment when success doesn’t just feel good – it starts to press a little.

More Clients, More Projects – and Suddenly More Responsibility

The transition often happens quietly. At first, every new inquiry feels like confirmation that your business is working. But at some point, you realize: It’s not just MORE coming in – there’s also MORE attached to it.

Suddenly, a new project doesn’t just mean “Yay, revenue!”, but also:

  • more communication
  • more coordination
  • more files, versions, and revisions
  • more deadlines
  • more expectations

In short: your responsibility grows. Your calendar fills up faster than you can say “break”. Single projects turn into parallel ones. Casual discovery calls turn into fully booked weeks. And your once-comfortable workflow suddenly feels like a tightrope walk between client work, back office, social media – and trying to somehow still eat lunch. That’s the moment you realize: Success feels great – but it isn’t automatically easy.

Feelings Between Pride and Growing Overwhelm

Success feels amazing. And at the same time… a bit like balancing a fully loaded tray while someone keeps adding more glasses. On one side, there’s this huge sense of pride. Clients trust you. You get positive feedback. Your work has an impact – you have an impact. It’s working. It’s really working.

But alongside that, a quiet thought starts creeping in:

“I hope I can handle all of this…”

“What if I disappoint someone?”

“What if I miss something important?”

You want to give 110% to every client. But slowly you realize that you’re stretching yourself further and further to do so. And while your business grows, your inner pressure often grows right along with it.

This is that strange moment when you realize:

You’re successful – and more exhausted than ever.

⇒ You’re grateful – but constantly tense.

⇒ You wanted freedom – and suddenly feel restricted.

Welcome to this in-between phase, where growth brings not only celebration, but responsibility. And don’t worry: this isn’t the end. It’s a transition. It’s the threshold where you realize: Something has to change.

The First Warning Signs That It’s Becoming Too Much

It rarely starts with a big breakdown. No dramatic burnout moment. No “I can’t do this anymore” monologue. It starts with small things. Everyday moments you brush off at first – until they get louder. Here are some of the most common early warning signs that your business is growing faster than your structure can keep up:

1. Your Inbox Has a Life of Its Own

You open it in the morning… and feel like you’re in an escape room: “Which email do I defuse first?”

You mark messages as “unread” so you won’t forget them. And then you forget them anyway. (It happens to the best of us.)

2. Deadlines Suddenly Feel Like Sprint Tracks

You used to have enough space for each project. Now one deadline chases the next. You work faster – not necessarily better – because you constantly feel behind.

3. Free Time? What Free Time?

That afternoon you planned to take off? Gone.

The yoga class? Also gone.

The weekend? Cute idea.

You keep postponing breaks and personal time because “I just need to finish this one thing first”.

4. Context Switching Is Driving You Crazy

Reply to an email → search for a file → listen to a voice message → write an invoice → back to the project → all at the same time.

It feels like mentally balancing on a slackline all day.

5. Small Mistakes Start to Happen

A mixed-up appointment. A wrongly saved file. A forgotten message.

Small things – yes. But also important signals that your brain is running at full capacity and slowly overheating.

These signs aren’t telling you: “Stop.” They’re quietly saying: “You need support. Structure. Relief.” Realizing that it’s getting too much isn’t the problem. Ignoring it is.

Mini Tip: Identify and Make Time Drains Visible

Before you reorganize your entire business (or seriously consider moving abroad), start small. The easiest way to immediately regain a sense of control is this: ⇒ Make it visible where your time actually goes.

It sounds unspectacular – but it’s a real game changer. Many self-employed people think they know where their time goes… until they actually track it.

How to Do It: A 3-Day Mini Time Tracking

Keep it simple. No fancy tools. No apps. No Notion templates.

All you need:

  • one list
  • three colors
  • three days of attention

Categorize every task into one of these three areas:

Client work

♦ Back office & small tasks

♦ Communication & coordination

And you’ll be surprised – genuinely surprised – how much time ends up in the yellow and blue categories.

Why This Helps So Much

    • You immediately see where you’re losing focus
    • You recognize tasks that repeat again and again
    • You notice which activities cost far more energy than expected
    • And you discover where automation or delegation could help

This takes five minutes in the evening – and gives you clarity you may have been missing for weeks.

You Don’t Have to Go Through This Alone

If you’ve reached this point, one thing is clear: your business is growing. And growth doesn’t just bring more work – it brings more responsibility, more coordination, and more mental load. No one teaches you how to deal with this “too much of everything” phase. There’s no course preparing you for what happens when things suddenly really take off.

But here’s what matters most:

⇒ You don’t have to handle this phase on your own.

And you don’t have to wait until it becomes unbearable.

Sometimes, one conversation is enough to gain clarity:

    • Where are you really right now?
    • Which tasks drain you the most?
    • What could you let go of – and how would that feel?
    • How could you bring more lightness into your daily work, starting now?

If your business feels like it’s growing faster than it feels good, let’s talk. No pressure. No obligation. Just an honest conversation.
